What is airec?
Airec is an AI-powered recruitment platform providing its recruitment softwares to receive candidate CVs and information and used by companies who may need to provide us with personally-identifiable information (“PII”), thereby becoming “Data Subjects”, in order for airec to commercially represent their interests in the market.
airec, its related entities, affiliates, and assigns (airec.io “us” or “we”) take the protection of your privacy very seriously. We are committed to respecting your privacy and protecting your PII, which is defined as any information that is capable of identifying you as an individual person as you submit information to our website (orally, in writing, or by electronic or digital means), use this Site and the airec Recruitment and Coaching Portal, and other related airec applications. To make sure your personal information is secure, we communicate data privacy and security guidelines to our employees and strictly enforce privacy safeguards within the company. The scope of our data privacy commitment is described in this Privacy Policy.
What personally-identifiable information is collected?
airec collects personally-identifiable information in various forms, including but not limited to oral, written, electronic and digital communications, in certain engagement letters, business agreement, and contracts, on certain areas of airec site when users register for or apply for jobs through our website, register for our newsletters and alerts, participate in our alumni activities, sign up for conferences and events, and participate in user posting areas (such as bulletin boards, discussion forums, and surveys).
The personally-identifiable information collected may consist of information that you provide, such as your name, mailing address, e-mail address, telephone number, technical skills, salary details, technical assessments or test which could be in the form of MCQs, coding solutions, problem solving solutions, audio and video recordings and background information necessary to be considered a candidate for an open position.
For recruiting purposes, the information collected may include other personally-identifiable information that you include on your resume, CV, biography, and other forms of information and communication that you submit as part of your application. In addition, airec collects certain information that you do not visibly enter, such as your IP address, browsing pattern on the Site, clickstream data, HTTP protocol elements, and the status of cookies placed on your computer by airec.
How may airec use my personally-identifiable information?
We may utilize the information we collect from and about you, including personal data, for the following purposes:
To provide, operate, and enhance our website
We aim to improve your experience with our website by analyzing data related to your usage.
To communicate with you
If you request additional information about our products, we will use your provided contact details to reach out. We may also send you details about products and services that could be of interest to you, with your prior consent where required by law.
To aggregate data
We may anonymize or aggregate data collected through our website to generate statistics for various purposes, ensuring that such statistics do not identify any individual or contain personal data.
To process your job application
If you apply for a position with us, we will use the personal information provided to evaluate and process your application.
To power candidate search and sourcing for other employers on the platform
With your separate, explicit consent (see “Long-Term Data Retention and Cross-Employer Matching” below), we may make an anonymized summary of your profile (such as relevant experience, education, and certifications, never your name or contact details) discoverable by other employers using Airec, so they can identify potential candidates for roles you have not directly applied to. Your name and contact information are never shared with these employers unless and until you choose to respond to or apply for a specific opportunity presented to you.
For marketing and advertising
Direct marketing: We may send you direct marketing communications, with an option to opt-out as described in our marketing opt-out section.
Interest-based advertising: Our third-party partners may use cookies and similar technologies to gather information about your interactions with our services over time. This data may be used to display ads that are tailored to your interests. You can manage your preferences regarding interest-based advertising in our Cookie Notice.
To comply with legal obligations
We may use your information to comply with legal requirements, respond to lawful requests, or address government inquiries.
To protect rights and safety
We may take necessary steps to protect our rights, privacy, safety, or property, as well as those of others, including defending against legal claims.
To audit and enforce terms
We may audit our internal processes to ensure they align with legal and contractual obligations, as well as internal policies, and enforce terms governing service use.
To prevent and address harmful activities
We may identify, investigate, and take action against fraudulent, unauthorized, unethical, or illegal activities, such as cyberattacks or identity theft.
To conduct background checks
We may use your information to process your personal data for the purpose of conducting background checks, including but not limited to verifying your employment history, education, and any records, as part of the recruitment process. You understand that this information will be used solely for assessing your suitability for the role.
AI-Driven Assessments & Video/Audio Interviews
AI-Driven Assessments: We may make use of AI-driven tools to analyze your application data, including video, audio, and written assessments, as part of the recruitment process. You understand that AI will be used to evaluate your communication skills, behavior, and other relevant competencies, and that you can request a human review of any AI-generated decisions.
Video/Audio interview: We may use and consent your recording and analysis of video or audio interviews as part of the recruitment process. You understand that these recordings will be used to assess your communication skills and other relevant competencies, and that they will be stored securely and processed in accordance with data protection laws.
How can users access, modify, or request deletion of PII?
A data subject is defined as any person who airec has obtained (voluntarily, implied, or expressed) consent, legitimate interest, or contractual necessity to retain PII. This includes any data subject who uses the airec websites, applications, submits oral or written information, or provides information via electronic forms, email, or other forms of digital transfer. The data subject has the right to ask for their data to be deleted at any time.
airec will modify or delete, or provide the data subject with access to their PII so they can make modifications or deletions upon receipt of a Data Subject Access Request (DASR). In addition to modification or deletion, a DASR can be a request both for confirmation that their data is being processed and for access to their personal data (usually in the form of an electronic report).
DASR Submission Protocol:
Any DASRs should be sent to hello@airec.io and should detail the scope, scale, and nature of the request being made. AIREC will comply with all legitimate requests within a commercially reasonable period of time (30 business days or less) at no charge to the data subject.
Report of a data breach
Airec makes every commercially reasonable effort to protect PII including using appropriate technical and organizational measures and safeguards designed to help prevent unauthorized access, unlawful Processing, and unauthorized or accidental loss of your Personal Information.
This includes, for example, the encryption of your communication with us over the Site based on the Secure Socket Layer (SSL) protocol. However, in the event of a suspected material breach, airec will report any such breach of PII to all relevant data subjects impacted.
airec portal / Candidate Program
To assist airec in enhancing the user and customer experience, we have developed a proprietary ATS web application. If you provide information through the web app, your personally-identifiable information will be held on cloud servers located to the nearest datacenter of your location, managed by airec.
Through ATS, candidates can apply for positions with airec (through airec app) or sign up on the airec Career Page where you can be notified of any potential job openings or other similar opportunities that might be of interest to you.
We frequently visit recruiting websites and social networks such as LinkedIn. Where users of those websites have made their personally-identifiable information publicly available, airec sometimes collects this information for the airec Candidate Program. If you do not want airec to retain your personally-identifiable information collected in this way, please opt-out of our Candidate Program when notified that your personally-identifiable information has been collected.
Mobile applications
In connection with applications that we make available for mobile devices, we may use third-party services to track and analyze non-personally identifiable user activity in order to fix errors, monitor usage, and improve the performance of the applications. In particular, UrbanAirship tracks whether a user opened an application in response to a specific push notification.
Omniture tracks and reports on some of our mobile applications’ usage and browsing patterns, including information about the type of device used, articles accessed, and other events occurring within our apps. Crittercism tracks certain errors occurring within mobile applications. None of these third parties gather information in a manner intended to identify any particular user personally.
Our mobile applications may include integration with various social-networking sites, including Facebook, Google+, LinkedIn, and Twitter. If you enable and use these features within an application, the extent to which your activities and information are tracked is governed by the relevant user agreement you have in place with such a third party.
Candidate Search & Sourcing for Other Employers
In addition to applying directly to specific job postings, Airec offers employers a candidate search and sourcing feature. If you have provided explicit consent (see “Long-Term Data Retention and Cross-Employer Matching” below), your profile may be included in anonymized search results shown to employers looking to fill other roles on the Airec platform.
What employers can see: A summary of your relevant experience, education, and licenses/certifications, and general fit information. Employers cannot see your name, contact information, or full CV at this stage.
What happens next: If an employer wishes to reach out, they may send you an invitation through Airec to consider a specific role. You are always free to decline or ignore this invitation. Your name, contact information, and full CV are shared with that employer only if you choose to respond to or apply for that specific opportunity.
You may withdraw consent for this feature at any time as described below, after which your profile will no longer appear in search results for new employer searches.
Is personally-identifiable information disclosed to third parties?
airec shall not intentionally disclose or transfer (and shall take reasonable steps to prevent the unauthorized or accidental disclosure of) your personally-identifiable information to third parties (i.e., persons or entities that are not our affiliates) without your consent, whether for such third parties’ marketing purposes or otherwise, except as follows.
airec may provide access to your personally identifiable information (personal data, including video, audio, and transcript data) to third-party vendors engaged by airec for the purpose of job placement or job opportunity; provided that such vendors will first agree to maintain the strict confidentiality of such information and provide the same level of data security as provided by airec. These third parties operate under strict confidentiality commitments and you have the right to withdraw your consent at any time or edit or delete your personally identifiable information.
We may also be compelled to surrender personal user or customer information to legal authorities without express user consent if presented with a court subpoena or similar legal order, or as required or permitted by the laws, rules, and regulations of any applicable jurisdiction.
Also, in the event of a violation of the Terms of Use of or any other terms on this Site, including but not limited to a violation of any restrictions on the use of materials provided in or through this Site, we may disclose personal user information to affected parties and legal authorities in furtherance of potential or on-going legal proceedings.
airec reserves the right to sell or buy businesses or assets. In the event of a corporate sale, merger, reorganization, dissolution, or similar event, Personally Identifiable Data may be part of the transferred assets. You acknowledge that such transfers may occur and that any acquirer or successor of airec may continue to use your Personally Identifiable Data as set forth in this policy.
Surveys, User Forums & Third-Party Links
Surveys: If you participate in a survey, all of our research results are reported as totals or in other aggregated forms, and no information about you as an individual respondent is made public.
User forums: You should be aware that whenever you publicly disclose information online, that information could be collected and used by others. Airec is not responsible for any action or policies of any third parties who collect information that users publicly disclose in any such forums on the Site.
Link to third-party sites: We may provide links to third-party websites or information as a service to our users. If you use these links, you will leave this Site. Such links do not constitute or imply an endorsement, sponsorship, or recommendation by airec of the third party, the third party website, or the information contained therein, and airec shall not be responsible or liable for your use thereof. Such use shall be subject to the terms of use and privacy policies applicable to those sites.
Access, Updates, Security & Transborder Transfer
How can I access, change, and/or delete information? You may access, correct, update, and/or delete any personally-identifiable information that you submit to the Site. You may also unsubscribe from mailing lists or any registrations on the Site. To do so, please either follow instructions on the page of the Site on which you have provided such information, subscribed, or registered or contact us at the address provided at the bottom of this Privacy Policy.
Security: airec has implemented generally accepted standards of technology and operational security in order to protect personally-identifiable information from loss, misuse, alteration, or destruction. Only authorized airec personnel and third-party vendors are provided access to personally-identifiable information, and these employees and vendors are required to treat this information as confidential. Despite these precautions, airec, however, cannot guarantee that unauthorized persons will not obtain access to your personally identifiable information.
Transborder hosting and transfer of information: The personally-identifiable information collected on the Site may be transferred to airec offices or personnel, or to third parties, located throughout the world, and the Site may be viewed and hosted by airec or its vendors anywhere in the world, including countries that may not have the same data protection laws than what is found in your country of residence. By using the Site and registering such information on it, you voluntarily consent to such transborder transfer and hosting of such information.
Data Retention Policy
airec stores personally-identifiable information for various purposes as notified to you in this policy. For each of these different purposes, airec only retains the personally-identifiable information for so long as it is serving its notified purpose.
For candidates who apply to a role and are not selected, Airec retains your CV, application details, and assessment data for 12 months from your last activity (such as your application date or last profile update), after which this data is either securely deleted or retained only in anonymized, aggregated form that cannot identify you.
Video and audio interview recordings and test/assessment responses are retained for 6 months from the date a hiring decision is made for the role you applied to, unless you have opted into extended retention as described below.
If you are hired for a role, Airec retains recruitment-specific data (your application, assessments, and interview records) for 90 days following your confirmed hire date. After this period, ongoing employment records become the responsibility of your employer, who may retain such information separately under their own policies and legal obligations.
If you have provided explicit consent for extended retention (see below), the above default periods do not apply to you; instead, your data is retained for up to 5 years from your last activity, as described in that section.
Contact details collected for event registration are retained for the duration of the event and 12 months thereafter. Personally-identifiable information made publicly available on user forums or boards remains available indefinitely. Contact details for submitted comments or contact-us inquiries are retained indefinitely for contacting purposes only. Contact details for distribution of the airec Newsletter and Alerts are retained indefinitely, unless the user asks to no longer receive delivery. Contact details for submitted customer service inquiries are retained indefinitely with the relevant submission. Demographic information for members of the panelist program is retained indefinitely for research and survey analysis. Contact details for submitted comments are retained indefinitely, either published with the article or stored with it. Within the airec App, contact details are retained indefinitely to enable a personalized experience across future sessions, and information submitted in connection with customer service inquiries is retained indefinitely with the relevant submission. Registration details and other information submitted by users of airec.io, including in connection with our Development Center, may be kept for use in accordance with this privacy policy.
Addition to AIREC’s Privacy Policy: Long-Term Data Retention and Cross-Employer Matching (Optional)
If you provide explicit consent, AIREC may retain your submitted CV, assessment data, video/audio interviews, and related recruitment information for up to 5 years after the last recorded activity. This extended retention enables AIREC and its clients to:
- Consider you for future job opportunities that align with your profile, including roles posted by other employers using the Airec platform, through our candidate search and sourcing feature described above.
- Conduct professional reference checks with former co-workers or employers, upon lawful and justified request.
- Analyze anonymized or aggregated data to improve recruitment services.
If you consent to this extended retention, you may occasionally receive emails from Airec about other relevant opportunities. You are never obligated to respond or apply, and your contact details are not shared with any employer unless you choose to engage with a specific opportunity.
You may withdraw this consent at any time by contacting hello@airec.io or visiting [company].airec.io where signed up, after which your long-term stored data will be securely deleted within 30 days, and your profile will no longer be used for candidate search, sourcing, or cross-employer matching.
This extended retention is entirely optional and is not a condition for using AIREC’s services.
Children, Consent & Contacting Our Privacy Department
Children: Airec understands the importance of protecting children’s privacy, especially in an online environment. The Site is not designed for or directed at children 18 years of age or younger, and airec will not intentionally or knowingly collect or maintain information about anyone under this age.
Consent; changes to the privacy policy: By using the Site, you consent to the collection, use, and storage of your information by us in the manner described in this Privacy Policy and elsewhere on the Site. We reserve the right to make changes to this Privacy Policy from time to time. We will alert you to any such changes by updating this Privacy Policy. This policy was last updated on September 8, 2026.
Consent and contacting our privacy department: By sharing your Candidate Information with us through this Site, you explicitly consent to the Processing of your Candidate Information, including any Sensitive Personal Information you might choose to disclose to us, as described above.
This includes, without limitation, the transfer of your Candidate Information, or parts thereof, to countries not providing an adequate level of protection of personal data. You acknowledge that you are under no obligation to provide your consent and that if you choose to do so nonetheless, you may revoke your declaration of consent at any time with future effect by using the contact details below.
